Privacy policy

Your salon data stays with your salon.

This policy explains what SalonTime handles, why it is needed and the choices available to salon owners, staff and clients.

Who we are

SalonTime is operated by Cloudsafe Consulting Pty Ltd in Australia. SalonTime is a workflow tool for participating hair salons. Each salon controls the information its authorised team enters or imports into its private workspace.

Information SalonTime handles

  • Account and team information: email address, display name, salon membership and access role.
  • Salon information: salon name, team, service presets, branding, products and workspace settings.
  • Appointment information: calendar event time, booking name, service and staff member when supplied by the selected calendar or booking feed.
  • Client records: name, mobile number, appointment links, service history, formulas, treatment notes, allergy or sensitivity information, patch-test details and optional consented photos entered by authorised salon staff.
  • Operational information: active timers, notification status, sync time, app version, inventory movements and limited diagnostics shared when requesting support.

How information is collected and used

Information is entered by authorised salon users, supplied by an invited account holder, imported from a calendar or compatible salon booking export, or produced as part of the user's SalonTime activity.

We use it only to provide appointment matching, shared salon records, processing timers and alerts, staff access, synchronisation, inventory tools, security and support. SalonTime does not sell personal information, build advertising profiles or use client records for advertising.

Calendar access and notifications

Calendar access is requested only after a user chooses to connect a device calendar. SalonTime reads events from the calendar selected by the user and imports relevant appointment details into the selected salon workspace. It does not modify the source device calendar.

Notifications and system alarms are used for timer alerts. They may include the client and service context needed by salon staff. Users control calendar and notification permissions in iPhone or iPad Settings.

Service providers and sharing

SalonTime uses service providers to operate the product, including Supabase for native-app authentication and cloud data services, hosted web infrastructure provided through OpenAI Sites and Cloudflare, and Apple platform services for app distribution, device permissions, notifications and alarms. These providers process information only to provide their services and are expected to protect it consistently with applicable law and their contractual obligations.

Salon records are otherwise shared only with authorised accounts in the same salon workspace, according to their Owner, Manager or Staff access. We may disclose information where legally required or necessary to protect users, the service or others.

Some providers may process information outside Australia. Where this occurs, we take reasonable steps to work with providers that maintain appropriate privacy and security safeguards.

Storage and security

Signed-in salon data is stored in SalonTime's cloud services and may be cached on authorised devices for offline use. Client photos are copied into protected SalonTime storage. We use access controls, encrypted network connections and workspace separation to protect information.

No online service can guarantee absolute security. Salons should provide access only to current staff, protect their devices and promptly remove access that is no longer required.

Retention and deletion

Salon records remain available while the salon workspace is active or until an authorised salon user deletes them. Owners and managers can permanently delete a client and linked service history, notes, formulas, photos and appointment links. Users can clear cached information from a device, leave a salon where permitted, or permanently delete their account inside the app.

Account deletion removes the user's sign-in and salon access. Records controlled by a salon may remain with that salon. Some limited records may be retained where required by law or reasonably needed for security, backups and dispute handling, then removed or de-identified when no longer required.

Salon responsibilities and client rights

The participating salon is responsible for deciding what client information is appropriate to record, obtaining any consent required for photos or sensitive information, keeping records accurate and responding to its clients' access or correction requests. SalonTime is not a medical record system.

Clients should first contact their salon to access, correct or delete salon-held information. SalonTime users can manage permissions in device Settings and account controls inside the app. See Account and deletion for step-by-step instructions.

Children

SalonTime is intended for professional salon teams and is not directed to children. A salon should record information about a minor only where appropriate and with the consent required for that salon's services.
