Pilot participation agreement

A supervised SalonTime pilot.

This founder-prepared agreement records what CloudSafe and the participating salon will each do during the first controlled use of SalonTime.

Salons may read and comment on this draft, but should not sign it or enter real client information yet.

1. Parties and documents

This agreement is between CloudSafe Consulting Pty Ltd (ABN 45 688 989 791), trading as Salon-On-Time (CloudSafe), and the salon entity identified in the acceptance schedule (Pilot Salon).

The SalonTime Terms of Service at https://www.salontime.au/terms and Privacy Policy at https://www.salontime.au/privacy, each dated 1 September 2026, form part of this agreement. If there is an inconsistency, this signed agreement takes priority for the pilot.

2. Pilot scope, period and offer

CloudSafe will provide the Pilot Salon with one private SalonTime workspace for evaluation by approved owners, managers and staff. The pilot begins on the commencement date and continues for 90 days unless the parties record another end date or end it earlier under this agreement.

The 90-day pilot is provided without charge. If offered, the Pilot Salon may continue for a further 12 months at a foundation-partner rate recorded in the acceptance schedule or a later written offer. Continued use after the free pilot is optional and requires the Pilot Salon's express agreement to the price before any charge applies. The offer is not conditional on a positive testimonial, rating or App Store review.

3. CloudSafe commitments

  • Provide reasonable onboarding and support through support@salontime.au.
  • Use reasonable care to operate the pilot, maintain workspace access controls and investigate reported security or data-isolation issues.
  • Use salon and client information only to provide, secure and support SalonTime as described in the Privacy Policy.
  • Notify the Pilot Salon promptly after confirming a material incident affecting its information, subject to lawful investigation and notification requirements.
  • Give reasonable notice of a material pilot change where practicable.

4. Pilot Salon commitments

  • Nominate an authorised owner and maintain an accurate list of approved users.
  • Use SalonTime only for the Pilot Salon and remove access promptly when a staff member leaves or no longer requires it.
  • Keep the existing booking system, source client records and manual timer safeguards available throughout the pilot.
  • Follow professional standards, manufacturer instructions, patch-test requirements and client-safety procedures.
  • Obtain and record any consent required for client photographs or sensitive service information.
  • Use fictional or anonymised information until CloudSafe confirms that onboarding, access and recovery checks have passed.
  • Report suspected security, incorrect-salon access, data loss or unsafe timer behaviour promptly and stop the affected workflow until it is safe to continue.

5. Data and confidentiality

The Pilot Salon controls its client and business records. It authorises CloudSafe to process those records to provide the pilot. Each party must protect the other party's confidential information and may disclose it only to personnel and service providers who need it for the pilot, or where disclosure is required by law.

CloudSafe may use de-identified operational observations and feedback to improve SalonTime, but will not use client records or photographs for advertising, demonstrations or model training.

6. Pilot limitations and feedback

The parties acknowledge that SalonTime is pre-release software. It may change, be unavailable or contain defects. The Pilot Salon will not treat it as its sole booking record, client record, stock record or safety control. The Pilot Salon will provide reasonable feedback about defects, usability and salon workflow, without sending unnecessary client information.

7. Ending the pilot

Either party may end the pilot on seven days' written notice. A party may end it immediately for a material security risk, serious misuse, unlawful conduct or an unremedied material breach. CloudSafe may suspend only the access reasonably affected while investigating an urgent risk.

At the end of the pilot, the Pilot Salon must stop using the service and confirm which authorised accounts should be removed. CloudSafe will explain the available workspace deletion and retention process. Backup and security records may remain for a limited period where reasonably required and will not be restored to active use except for authorised recovery, legal or security purposes.

8. Rights and responsibility

Nothing in this agreement excludes a right or remedy that cannot lawfully be excluded, including under the Australian Consumer Law. Each party is responsible for reasonably foreseeable direct loss caused by its breach, negligence or unlawful conduct. Neither party is responsible for indirect or consequential loss that was not reasonably foreseeable.

SalonTime remains CloudSafe's intellectual property. The Pilot Salon retains its rights in its own data, branding and confidential information.

9. General

This agreement is the entire agreement for the pilot together with the incorporated documents. A change must be recorded in writing by both parties. Neither party may transfer the agreement without the other's consent, except as part of a genuine transfer of its business with written notice. New South Wales law applies.
